POLICIES AND PROCEDURES
We are pleased that you have chosen All Seasons Property Management to handle your lodging needs. Listed below is information that will answer many of your questions.
By renting a vacation home through All Seasons Property Management, you agree to the following terms:
Check- in is between 4 - 6 PM. You must pick up the keys to your vacation rental at our office located at 23804 E Greenwood Ave, Welches. Directions to our office are on the website. We are located on the corner of Hwy 26 and Greenwood Ave, between The Rendezvous Center and The Shack, across the street from the Fly Fishing Shop. You will receive directions to your vacation rental and keys at check-in. We do have arrangements for late check ins, so let us know if you will be later than 6 PM on your arrival date.
Check- out is 11 AM All keys must be returned to the office upon departure by 12:00 noon . You will be charged $35.00 for non-returned or lost keys. All Seasons Property Management will provide you with a professionally cleaned and well-maintained vacation property. You will be welcomed by a clean home with an initial supply of firewood, bath tissue, paper towels, hand and dish soap. We expect you leave the home in a similar fashion to the way you found it. You will be charged for any excessive cleaning or moving of furniture.
All of our vacation homes have:

All linens and towels for the number of people on your reservation

Fully equipped kitchens, including pots and pans and some spices

TV’s, VCR or Satellite

We provide enough firewood for a 2 – 3 hour fire in the fireplace or wood stove for each night of your visit. You may purchase additional firewood at the local markets. We do not provide wood for fire pits if there is one at your vacation rental.

There is a block on long distance on all of the rental phones. You will need your cell phone
to make long distance phone calls. We have a large calling area and all of Portland is toll free.

If there is a hot tub at your rental, please read all the instructions regarding use. DO NOT ADJUST ANYTHING ON THE HOT TUB, EXCEPT JETS AND LIGHTS. YOU WILL BE CHARGED FOR ANY MALFUNCTIONS CAUSED BY YOUR ADJUSTMENTS. There is a minimum $75 charge if we have to clean and drain the tub after your visit because of not following instructions and the proper use of chemicals.

Camping in RV’s, campers, trailers or tents is not permitted on the grounds of the vacation rental. If members of your group would like to camp, there are several options available.

There is much wildlife in the mountains. Be sure not to leave any food out and to clean BBQ grills after each use. Make sure garbage can lids are on tightly, or the bears, neighborhood dogs and raccoons will be visiting. Barbecues not always available in the winter months.

WE DO NOT ALLOW SMOKING IN OUR RENTALS. You will be charged if smoking is done in the home.Some of our homes allow pets and a pet addendum will be given if you are
bringing your furry one. A one-time $30.00 fee will be charged for each pet.

Trip Cancellation Insurance pays for non-refundable payments and certain costs if your trip must be cancelled or interrupted for catastrophic reasons. For more details or the purchase of Trip Insurance or cancellation of insurance please call CSA at 800-554-9839.
Reservation & Payment Policies:

Rates are based on double occupancy based on a 2 night minimum and do not include 7% Clackamas County Room Tax. Rates are determined by 1) your particular vacation rental 2) the number of people in the home 3) the number of nights rented 4) the season rented. Children 7 years and younger stay for free, a maximum of two per reservation.

Rates are based on the greatest number of people who will be staying in the house during your visit. Housekeeping is worked into your nightly rate, so you do not have additional cleaning charges unless the house has excessive cleaning necessary after your departure.

A 5% charge is incurred on any added charges such as: moves, refunds or damages.

Processing Fee of $25.00 is charged per individual reservation and is non refundable from date of initial booking.

Full Payment is due 30 days prior to arrival. There are no refunds for changes or cancellations made less than 30 days prior to arrival from All Seasons Property Management. The purchase of Trip Cancellation Insurance is made available at the time of the reservation and not after final payment has been made. All holiday reservations booked (Dec 19th thru Jan 5th) are due by October 1 st prior to the holiday.

Please return signed confirmation letters to our office prior to your arrival date.

A current Visa or Master Card or a security deposit will be retained until after departure and may be used to cover the cost of: additional rent for people not originally listed on the reservation, damages, replacement of missing or broken items, cleaning beyond normal expectations, hot tub maintenance or draining due to your visit, or any other charges incurred by the renter.

All Seasons Property Management is not responsible for lost or stolen items. There will be a $25 handling fee plus shipping for any items left behind that All Seasons is requested to return. We will hold forgotten items for 30 days and then donate to a local charity.
Rental Policies

We do not allow parties of any kind, weddings or other special events at most of our rentals. There is an additional fee charged to have special events in the few properties that do allow them. We reserve the right to deny occupancy to any group who has an unauthorized party or event at the rental home. There will be no refunds for unauthorized events.

We do not allow camping in RV’s or tents or campers in our vacation rentals.

We do not rent to people less than 21 years of age.

If renter brings a pet into a pet friendly home they are responsible for all extra cleaning or damages caused by the pet while in the rental property. A pet addendum must be signed before keys are issued.

WE DO NOT ALLOW PETS IN NON-PET FRIENDLY HOMES and you will be evicted.

NO CATS are allowed in Pet Friendly homes.

The renter agrees to use the property in the manner of which it is intended. The renter will not bother neighbors, or infringe on other guests rights, enjoyment or use of property. In respect to neighbors we request quiet time, between 10 PM – 8 AM. Be very aware of this when using the hot tub.

The renter shall not have more people stay overnight, other than those listed on the original reservation.

The renter is responsible for notifying rental agent of any malfunctions of anything in the vacation rental property immediately so needed repairs can be done. Any malfunction not reported is subject to eviction and rental agent or owners will not be held responsible for any injury that may occur due to malfunctions that are not reported immediately.

The renter shall pay any and all legal fees to the owner and agent if any action or suit shall be brought about by the owner or agent for the recovery of rent due, reimbursement of damages, cleaning or other expenses incurred by the renter.

All Seasons Property Management shall have the right at any and all times to enter and inspect the premises for any reason.

All Seasons Property Management reserves the right to evict at any time any guest who is not in compliance with the above stated policies. There will be no refunds due to eviction due to non-compliance with our policies.

We will not be held responsible for power outages, severe weather or road conditions, personal differences or emergencies and no refunds will be issued in these cases. We will be happy to reschedule you if possible.

When you check into your vacation rental, let us know immediately if there is anything wrong, or any situation that needs our attention. No money will be refunded at the end of your visit, if we have not been informed of the problem and given a chance to correct it.
